Job Overview:
The Grants & Stewardship Specialist plays a critical role in advancing the Conservancy of Southwest Florida’s fundraising goals by managing the organization’s institutional grant program and implementing a comprehensive donor stewardship program. Reporting to the Director of Development, this position oversees the full lifecycle of grant funding, including prospect research, proposal development, submission, compliance tracking, and reporting.
In addition, the position manages a systematic stewardship engagement strategy for donors across the Conservancy’s database to ensure meaningful, timely, and consistent communication that demonstrates the impact of their philanthropic support. The role develops and implements stewardship methodology that aligns with nonprofit best practices and strengthens long-term donor relationships.

RESPONSIBILITIES
Grant Strategy and Prospect Development:
•Identify, research, and evaluate foundation, corporate, and government grant opportunities that would align with the Conservancy’s strategic priorities and program initiatives.
•Maintain a proactive grant prospect pipeline and manage an annual grants calendar that tracks submission deadlines, reporting requirements, and funding cycles.
•Work with Department Directors and program staff to identify projects suitable for grant funding and develop funding strategies for priority initiatives.
•Monitor grant funding trends and recommend opportunities that support the Conservancy’s conservation, education, and programs.
•Contribute to annual grant revenue projections and track grant funding progress toward departmental fundraising goals.
Grant Proposal Development and Submission:
•Prepare and submit competitive grant proposals, including narratives, budgets, supporting documentation, and required attachments.
•Collaborate with program leadership and finance staff to gather programmatic data, outcomes, and financial information required for proposals.
•Ensure grant applications meet all funder guidelines, compliance requirements, and submission deadlines.
•Coordinate internal review and approval processes for proposals prior to submission.
Grant Management, Reporting, and Metrics:
•Manage the full lifecycle of institutional grants, including submission tracking, award documentation, reporting schedules, and compliance monitoring.
•Track and report grant revenue metrics, including proposals submitted, awards received, success rates, and grant revenue against annual targets.
•Prepare interim and final grant reports that clearly communicate measurable program outcomes and conservation impact to funders.
•Maintain a centralized grant management system within the Altru database to track grant activity, deadlines, reporting obligations, and funder communications.
•Work with program staff and finance leadership to ensure grant expenditures align with approved project budgets and funding restrictions.
Donor Stewardship and Engagement:
•Develop and implement a comprehensive donor stewardship program that reflects nonprofit best practices and strengthens long-term donor relationships.
•Manage stewardship engagement for donors within the Conservancy’s database, ensuring consistent communication and recognition of philanthropic support.
•Coordinate quarterly donor stewardship touches tailored to donor interests, including updates on conservation programs, education initiatives, and organizational impact.
•Prepare personalized stewardship communications including impact reports, donor updates, and acknowledgment materials.
•Coordinate thank-you notes following receipt of donations to provide timely and personal donor appreciation.
•Ensure timely and accurate acknowledgment of gifts and grants within the Altru database.
•Track stewardship activities and donor engagement metrics to ensure consistent communication and stewardship cadences.
•Collaborate with the development team to support donor recognition initiatives and strengthen engagement with the Conservancy’s philanthropic community.
Data Management and Internal Collaboration:
•Maintain accurate and organized records of grant activity, donor stewardship actions, submissions, awards, and reports within the Altru donor database.
•Provide regular updates to Development and Finance leadership regarding grant revenue progress and upcoming funding opportunities.
•Meet regularly with Department Directors and program managers to understand funding needs, collect program updates, and gather information for grant proposals and donor reports.
•Coordinate with development staff to align grant funding efforts with broader fundraising strategies.
Additional Responsibilities:
•Support the Development Department in advancing overall fundraising goals and initiatives.
•Perform other duties as assigned by the Director of Development.
Education and Experience
•Bachelor’s degree from an accredited four-year college or university.
•Minimum of three years of experience in grant writing, nonprofit development, fundraising, or related field.
•Demonstrated success in securing grant funding or developing competitive grant proposals.
•Experience working in a nonprofit organization preferred.

•Exceptional writing, editing, and storytelling abilities.
•Strong research and analytical skills for identifying and evaluating funding opportunities.
•Ability to translate complex programmatic information into compelling grant proposals and donor communications.
•Strong project management skills with the ability to manage multiple deadlines simultaneously.
•Experience working with donor databases and CRM systems (Altru preferred).
•Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook) and Monday.com.
•Excellent organizational skills with strong attention to detail.
•Ability to collaborate effectively with staff across multiple departments.
•Passion for environmental conservation and the mission of the Conservancy of Southwest Florida.
Certificates, Licenses, and Registration
•Valid driver’s license and good driving record.
