PURPOSE OF JOB: This is a part-time position. The Administrative Assistant is responsible for supporting the Membership and Development office by performing administrative tasks, accurate data entry into the Conservancy’s constituent and member records and event assistance, as needed. Other business support responsibilities will include, processing invoicing and auction inventory cataloging.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Supports the Database Manager and Development Team in ongoing projects.
• Assists with all general office procedures including but not limited to auction data entry, RSVP’s, outgoing calls, emails, filing, reports, payment of vendors, tracking contracts and budgets.
• Responsible for silent auction requests, procurement and database tracking for fundraising events.
• Works with outside caterers, vendors and partners for partner events onsite, if needed.
• Manages event calendar.
• Uses customer relationship software to interact with donors and prospects and track/manage events.

QUALIFICATIONS:
• Associate’s degree (A. A.) from two-year College or university; or two to three years related experience and/or training; or equivalent combination of education and experience.
• Two or more years of office support experience in business with working knowledge of general office procedures and effective writing and typing skills.
• Excellent professional phone skills.
• Excellent verbal and written communication skills.
• Strong grammar and proof reading skills preferred.
• Advanced knowledge of Microsoft Office, internet and the ability to learn new computer programs quickly; experience in Altru database desirable.
• Very proficient in use of office automation and the internet as a resource for information gathering and productivity. Specifically, able to demonstrate high user ability in the following: MS Office Suite, focusing on Word (advanced), Excel (advanced), Outlook, and Internet Explorer, with knowledge of PowerPoint a plus. Proficient in Windows 2000, Microsoft Word essential.
• Highly organized, detail-oriented, and able to handle multiple projects simultaneously in a fast-paced team environment.
• Excellent skills in organizing work groups and managing and motivating staff and volunteers to work under the specific time constraints of a major event.
• Ability to work both independently and as part of a team.
• Ability to handle multiple tasks and prioritize needs.
• Availability to work nontraditional office hours.
• Interest in the mission of the Conservancy of Southwest Florida, desirable.
• Experience working in nonprofit environment a plus.
• Extreme grace under pressure.
